The key stakholders are mainly the shareholders in the board of directors or in the top management of the company. The best way to involve them in the decision making process is to conduct meetings monthly or semi-annualy. This way they will get to know the key processes and strategies going on in the company as well as in the industry.

Send out proxy notices to all shareholders of the company as well as to all Directors and give notice of the Board of Directors meeting. Write and agenda of the meeting, sign in all those attending. Appoint a President to preside over the meeting as well as a Secretary to record in written form the events and decisions made at the meeting and sent copies of the minutes to all the participants. Then if someone doesn't agree or complainer's there is a record and documentation of the events to help cover your butt if anything goes wrong.
