It is very easy to set up and populate asset tracking software if a decent package is purchased. The harder part is to assign the responsibility to staff to make sure that it is always kept up-to-date.
Once the software has been installed on a computer or software, it needs to be filled with the information on all the assets that the company possesses (this is called 'populating'). Someone within the company will probably need to spend time deciding how to groups the assets, and which assets should go on the system, which will be different for each company. If assets have previously been recorded on a spreadsheet or in another database, then it should be possible to import all the data in batches. If all the information is on paper, then it will need to be typed in manually.
As soon as the information is in and checked, then the various people within the company who might manipulate assets need to be informed and trained to either use the system directly, or notify the person responsible every time an asset is moved, changed or assigned to a different employee. For example, a human resources administrator who gives a PDA to a new starter would need to log the serial number against that person. If a salesman's laptop breaks down and is replaced, the IT department must update the system to add the new laptop and delete the old one.
