In a formal meeting, minutes are normally kept, there is normally an agenda to follow. This is a pre approved course of events that are set down in advance to list the things that need discussion, approval and action.
If there is a change to this agenda, it would fall under amendments, and would be listed as such in the minutes
of the meeting, which are published within the company to the attendees of the meeting.
This format is followed to keep the meeting staying on track, and to stop someone just monopolising all the time
discussing something that is not as pressing and important, as what was on the agenda.
The minutes of the meeting, serve as a recorded reminder
of what action should be taken, that was agreed upon in the meeting in question.
